Position Overview
We are seeking a detail-oriented and organized Administrative Assistant to support daily office operations.
This position involves invoicing, billing, permitting, payroll taxes, and administrative support tasks. The ideal candidate is familiar with QuickBooks, has experience handling financial and compliance documentation, and can manage multiple priorities while maintaining accuracy.
Key Responsibilities
- Process invoices and manage accounts payable and receivable
- Handle permitting documentation and billing codes
- Manage equipment and insurance licensing records
- Process bill payments in a timely and accurate manner
- Assist with payroll tax preparation and related documentation
- Maintain organized records and files for all administrative functions
- Support day-to-day office operations as needed
Qualifications
Required:
- 2+ years of experience in an administrative, office, or related role
- 1+ year of payroll or payroll tax experience
- Experience with invoicing, billing, and accounts payable/receivable
- Knowledge of permitting processes and billing codes
- Experience managing equipment and insurance licensing documentation
- Strong organizational skills and attention to detail
- Proficiency in Microsoft Office or Google Workspace
- Quickbooks experience preferred
Preferred:
- Knowledge of QuickBooks
- Strong communication and multitasking skills
Compensation & Benefits
- Pay Rate: $22.00 – $23.00/hr, commensurate with experience

Work Environment
Office-based position. This role requires strong organizational skills and the ability to manage multiple administrative tasks simultaneously in a professional office environment.
